RobinHQ is operated by Kaira Ventures Ltd. For customer account data, website enquiries and billing data, we normally act as a controller. For caller/customer data that a business processes through RobinHQ, we normally act as a processor for that business.

• We collect data for specified and legitimate RobinHQ service purposes.
• We aim to keep data accurate, relevant and limited to what is needed.
• We use security controls appropriate to the nature of the data and service.
• We work with service providers under appropriate contractual safeguards.

Businesses using RobinHQ are responsible for their own caller notices, lawful basis, retention settings, call recording notices and customer communication practices. This is especially important when enabling call recording, transcription, summaries or automated messaging.

RobinHQ may use cloud, communications, AI and payment providers that process data outside the UK. Where required, we use appropriate safeguards such as contractual commitments and transfer mechanisms.

To request access, correction, deletion, restriction or portability of personal data, email hello@robinhq.co. If you are a caller or customer of a business using RobinHQ, we may need to direct your request to that business as the controller.
